Dear all, We've been starting to prepare for SFD'09 and we would like to know if there is anything that we could add/replace in the schwags we're sending out that could be more helpful for your team to prepare the event this year. We of course do have a limited budget, but it would be nice to get some feedback about how to possibly improve our support. So I hope to get a lot of feedbacks from the 600 team leaders and their support team who made SFD '08 happen! Looking forward to it. Fred SFI Vice President
Hello. Germany speaking... ;-) In our case we could have dispensed the balloons. As we hadn't an event inside but a little booth there was no need for it. We also are going to celebrate DFD this year, it might be better to have two or three posters (A2 or so) to bring it on some windows. Last year we did this posters ourselves. In my opinion the CDs could be only for download and copying locally. Maybe then there is a chance to get some more T-Shirts which were really loved by the team members and the customers. In the 08 we was in a High school of more of 1000 student and are all to old for baloon. Hi Alexjan, We used the balloons for decorations here in Beijing and people tend to like them. Indoor you can 'scratch' them again your sweater and they will 'stick' on the ceiling... Save you the helium tank ;-) More CDs will depends on distributions willing to sponsor and step in. I guess Sun might do that this year with OpenSolaris but shipping CDs is heavy and costly. Ubuntu was paying for all this and we'll see what we can get this year. So yes we'd like to be able to send our more CDs with more distributions, but I cannot guarantee anything yet. Another usage of those CDs (including the OpenDisk) is for people with no, or poor Internet access to be able to duplicate them and distribute. So definitely more choice is good. I suggest the following: If teams register it should be essential to add the number of team members and the potential size. I would start to deliver different packages. It does not make sense to ship the same ammount to a 30 people event as well as to a 600 people event. I also would suggest that teams can request different amounts of stuff per se. In our case T-Shirts werent that helpful because it is quite cold in northern germany in September (about 14-15 degrees centigrade). So one would wear that under other clothes. I would suggest to provide a CD or DVD that has stuff for presentations (open source movies, statistics, images, music, lectures ...). Otherwise people need to collect all that data. Maybe also provide some OpenOffice documents for printing out SFD marketing stuff. Maybe also provide some Vcards to contact SFD organizers - so alltogether a good mix. BTW I suggest to already now bringt 2009 content and day to http://softwarefreedomday.org/ - In Kiel we have the problem that as well as last year another open source event now already chose October - so information about the date needs to be available more than just a few months before september. BTW2. I managed to get the surge protection for the wiki activated. maybe your settings a re a bit too strong. regards, thilo
Thilo, Lots of suggestion and some which requires long explanations I think. Team members count and potential size is impossible to verify for us before, during and after the event. The only fair thing we can do is send the same amount to everyone. Doing customized packaging is probably for professional (money making professional) organizations but not something for SFI. We are all volunteers like you and packaging all those, getting the address right, hand writing each and every phone number (plus getting the right number for team for forget half of the digits) is already a huge task. That probably addresses you point 1 and You should wear those T-shirt on top of your clothes and not under. It's a fun event where you do promotion. What's the value of hiding the T-shirt? Good point on the additional DVD marketing content. We tried to do that last year but unfortunately could not deliver on time. Hopefully we'll do better this year. Again authoring a DVD takes time and expertise (if you want it to look professional). I know our SFD video in 2007 took over a month to be made (a 5 minutes movie)... But yes we should start and improve over the years anyway. SFD is always at the same date: 3rd Saturday of September. This year will be a Saturday 19th. Even if it's not on the site the information has been sent out to the mailing list and we probably need to better advertise. The website system is going to be reviewed this year. We might change our wiki and a few other things to provide a better experience to everyone. At least that's the plan. What about asking about < 100 or > 100 people event ?

Dear Lars, As always (and obviously not clearly enough mentioned) SFD happens the 3rd Saturday of September, ie Saturday 19th, September 2009 this year. We also had plans to archive the site last year and have clear yearly grouping. Unfortunately due to technical difficulties everything got delayed so much that we even had problems to open the registration on time. We're planning for some technical changes this year and that is probably one of them (thanks for mentioning - not me doing the job, but 'he' is reading attentively). Fred Lars Noodén wrote:
