Thank you for asking questions and apologies if the call for hosts wasn't clear enough. What DFI is asking is a local team to partner with and with whom we would work on organizing the summit (before, during and after). So of course a venue is important and an introduction to the local team previous experience in running events as well as liaising with local partners and sponsors. While we do have ideas of how the summit could look like we are definitely opened to discuss 'out of the ordinary' activities.

To highlight the important part of the call for sponsors we expect the proposal to cover the following points:

- Why should we do it in your city/country?
- Why should we do it with your team?
- What venue can we expect?
- What accommodations are available and at what price?
- What's the plan for internet connectivity during the conference?
- What support can we expect from other organizations on site?
- We've also added a one day 'out of conference' tour for the team and speakers, which is a good way to get together and discover a little bit more about both your place and the people who made the summit happen.

- How much should we plan for all that?

From our experience with other conferences each local team will have different skill sets making it hard to be more specific on who will do what. In the meantime we are available for any type of discussion on the summit either through this mailing list like you did or by IRC. We could even set up a formal meeting if needed.

planned to work on the year ahead, programs and actions which could be
run under the DFI umbrella and status updates on ongoing activities such
as software development, infrastructure, marketing and fund raising
campaigns.

If you are interested in hosting the upcoming SFD Summit in September
2012 please submit a formal proposal to board (at) softwarefreedomday
(dot) org before July 1, 2012 Sunday UTC 2359. The proposal should
address all of the relevant topics listed below:

- Introduction of the country / city / organizer - why is this a good
choice?
- Recommended venues and logistics
- Internet access
- Accommodation choices
- Local 1 day tour
- Local community / government / industry support
- Detail budget estimation and potential local sponsors

The event is recommended to run for at least 2 days on 15 and 16,
September 2012, with a combination of parallel tracks (at least 2
tracks). The planning sessions for SFD contributors should not conflict
with other SFD sessions. Other key points which will be taken into
account when choosing a proposal, are listed on the Requirement List

question. Also note that all profits from the summit will go to the DFI
